You’re ready to take the plunge into longarm quilting. It’s a significant decision and a big investment. You’ve done some research and narrowed down your choices when it comes to which machine you think will be the best fit for you. Choosing the right retailer is just as crucial as selecting the machine itself. In this post I’ll list ten essential factors to consider to help you choose the right retailer for your longarm quilting machine.
Why I’m qualified
Hi, I’m Mary Beth Krapil, Handi Quilter National Educator. I’ve been traveling world-wide teaching classes at Handi Quilter retailer’s shops for 16 years. Handi Quilter boasts a network of 350+ retailers in North America alone. Each shop has had in-person training at Handi Quilter headquarters in North Salt Lake, UT and has the on-going support of Handi Quilter. I will share some of the best qualities that I know are important in choosing your retailer.
Choose the Right retailer for YOU
1. Location
I put this in the #1 spot because, in my opinion, proximity to your retailer is the most important factor to consider. You may have been sewing for a very long time, you may have been quilting on your domestic machine for a while or hand quilting. Longarm quilting is quite different. You will want a local resource to be able to turn to when little questions come up while learning your new machine. When you need maintenance or repairs, having your retailer as close as possible is a plus. (More on that later) Nothing compares to in-person education. We have all become accustomed to on-line classes since the pandemic, but being there in person to get your questions answered is hands-down the best option.
However, let me set some expectations here. Longarm quilting is a specialized sport. There are approximately 9-11 million quilters in the United States and Canada. Only about 18% of those quilters own a longarm machine. So not every corner quilt shop will sell longarm machines. It is a specialized business. You may have a shop close to you that has the ability to sell longarm machines, but can’t help you learn how to use the machine and cannot help when it comes to maintenance or repairs because they don’t have a machine in their shop. Or, they have never personally used a longarm to quilt actual quilts. Handi Quilter retailers are trained in both sales and use of the machines, and also go through technical training for maintenance and repairs.

2. Expertise and Knowledge
Look for retailers that specialize in quilting and have knowledgeable staff who can answer your questions. A retailer with a strong background in quilting will be more equipped to guide you through the various options, helping you understand the differences in models, features, and accessories. And after the sale, will be able to help shorten your learning curve.
Handi Quilter has a requirement of all retailers when they sell a machine. Training on the basic operation of the machine is required as part of the machine package, included in the price of the machine. There is actually a check-list of items that they must explain and demonstrate to the new longarm owner. Examples of these, just to name a few, are:
Loading the fabric on the frame

How to wind a bobbin

Threading the machine
How to adjust tension

What all the buttons on the display do
And many more.
3. Retailer Reputation
Once you have narrowed down the field, take the time to research potential retailers. Look for online reviews, testimonials, and ratings. Websites like Google Reviews, Yelp, and quilting forums, or Facebook groups can provide valuable insights into other customers’ experiences. Talk with other longarm quilters at your guild. A reputable retailer should have a track record of excellent customer service and satisfaction. A happy longarm owner who is confidently using their machine to finish quilts is your best recommendation.
4. Demo and Hands-On Experience
One of the best ways to choose a longarm quilting machine is to try it out. Look for retailers that offer demonstrations or have multiple machines on their floor where you can test the machines in person. Getting a feel for the machine’s operation, stitch quality, and user interface can make a huge difference in your decision-making process.
5. Relationship
When the retailer can explain things about the machine in a way you can understand. And you feel comfortable with asking questions, then you know you’ve found a great retailer. Check the retailer’s customer service policies, including repair services. The right retailer will provide comprehensive support, including troubleshooting, maintenance tips, and access to parts. This can be particularly important if you encounter any issues down the line.
6. Maintenance and Repair services
Handi Quilter recommends having your machine serviced every 2 years or 10 million stitches, whichever comes first. Usually your retailer will have you bring your machine head in to their shop for this. It sounds daunting right? Such a big machine, and you have to remove it from the frame?!!  It’s really not hard to do. I have the 26″ Infinity and I am all of 5 feet zero inches tall. And I can do it myself. I put the machine in the back seat of my car. With a pillow in front of it, I put the seat belt around my baby and off we go for her spa appointment.
Some retailers do offer in-home service. So if that is important to you, be sure to ask that question. The same applies to repairs if needed.
If taking your machine to the retailer would not be feasible, and they do not offer in-home tech services, you would have to ship your machine for maintenance or repairs. We recommend saving the box your machine comes in if you ever need to ship. It has a form-fitting foam insert that will protect the machine during transport. These boxes are quite costly so it is worth saving.
7. Education and Training
It’s essential to find a retailer that offers education and training. Look for retailers that provide classes, workshops, and one-on-one training sessions to help you get started with your new machine. This support can significantly enhance your quilting experience and help you maximize the machine’s potential.
8. Community and Networking Opportunities
Many retailers are more than just places to buy machines; they foster a sense of community among quilters. Look for retailers that host events, Handi Quilter clubs, or other get-togethers to meet other owners. Connecting with other longarm quilters can be so much fun and provide valuable resources for improving your skills and creativity.
9. Financing Options
Some retailers offer financing plans, trade-in programs, or special promotions that can make purchasing easier. So if your budget needs a little boost, ask about these options with your retailer. Ensure you understand the terms and conditions of any financing options before committing.
10. HQ Way Award Recipient
Handi Quilter holds it’s retailers to very high standards. Some go above and beyond our basic requirements and we recognize them with the annual HQ Way Award.
